Print Professional Student ID Cards at Your School: Real Card Size, Photo, QR Code and 6 Designs
Student ID cards make a school look organised, help the gatekeeper recognise students and give parents an emergency contact on every child. But ordering them from a printer each session costs money, takes time, and any spelling mistake means waiting for a reprint.
The free Student ID Card Maker lets you design and print ID cards yourself at real card size, with photo, school logo, QR code, principal's signature and an optional back side. You can add a whole class by pasting from Excel. Here's how to do it right, including the printing settings that matter.
What you can put on the card
- Front: student photo, school name and logo, name, father's name, class, roll number, admission number, date of birth, blood group, contact, address, session and valid-till date, plus the principal's signature.
- QR code that scans to the student's name, roll number, class, school and contact.
- Optional back side with school rules, emergency details and an "if found, please return to" note. Back pages are mirrored so double-sided printing lines up.
- 6 designs, portrait or landscape, in your theme colour.
Cards are real CR80 size (54 × 85.6 mm), the same as a bank card, laid out on A4 sheets with cut marks: 9 per sheet in portrait (3 × 3) and 10 per sheet in landscape (2 × 5).
Step-by-step
1. School details
Enter the school name, address, phone, session, valid-till date and upload the logo and principal's signature.
2. Design
Pick a design, orientation and theme colour, and turn the QR code and back side on or off.
3. Students
Add students one by one, or paste rows from Excel or Google Sheets in this order: Name, Father, Class, Roll No, Adm No, DOB, Blood group, Contact, Address. Then upload each photo, or use Bulk photos: select the photo files in the same order as the students and they're filled in automatically.
4. Print
Download the PDF and print at 100% (Actual size) on A4. For double-sided cards, print the fronts, then put the sheets back in the printer and print the mirrored back pages. Cut along the marks and laminate or insert into card holders.
Portrait or landscape?
Portrait cards hang neatly on a lanyard, give the photo more space and fit 9 to an A4 sheet; most schools choose portrait for students. Landscape cards fit 10 per sheet, have more room for long names and addresses, and suit wallets and card holders, which is good for college students and staff cards. Try both with the live preview and pick the one that looks clearest with your logo and colours.
Collecting student data without the headache
Ask class teachers to fill one Excel sheet per class in the exact column order the tool uses, and to collect photos with the student's roll number as the file name. When the data comes in clean, the whole school's cards can be ready in an afternoon.
Free vs Premium
The PDF is free with the website watermark. Premium members get an editable Word file and a watermark-free PDF, which is best for cards students will carry all year.
Tips for professional-looking cards
- Use passport-style photos: plain light background, face centred, good light. Ask parents to send photos on WhatsApp in the same style.
- Name photo files by roll number and sort them before using Bulk photos, so every photo lands on the right card.
- Print one test sheet first and measure a card. It should be 85.6 mm long; if not, your print settings are scaling the page.
- Use thicker paper or card stock (200–250 gsm) and laminate for durability.
- Add the blood group. It's a small detail that can matter in an emergency.
Mistakes to avoid
- "Fit to page" printing, which shrinks the cards. Always choose 100% / Actual size.
- Wrong column order when pasting, which puts the father's name in the class field. Follow the order shown in the tool.
- Low-resolution logos that look blurry when printed. Use the clearest version of your logo.
- Forgetting the valid-till date, which makes old cards look valid forever.
