School Fee Challan in 3 Copies: Make Fee Vouchers for a Whole Class in One Click
In many private schools, the start of every month means the same routine: open last month's fee challan file, change the month, fix the due date, update arrears for a few students, recalculate totals, write amounts in words, and print. One mistake in a total and a parent is at the office the next morning asking why.
The free Fee Voucher / Challan Generator makes monthly fee vouchers for a whole class at once, with three copies (Bank, School and Student) side by side on one A4 page. Totals and amounts in words are worked out for you. Here's how to set it up once and reuse it every month.
What every voucher includes
- Three copies on one A4 landscape page: Bank Copy, School Copy and Student Copy, separated by dashed cut lines.
- Bank details: bank name, branch, account title and account number.
- Voucher number, issue date and due date, plus the fee month.
- Student details: name, father's name, class and roll number.
- Fee heads: tuition, admission, exam, transport, computer, concession and more, all editable.
- Total, amount in words, and the fine payable after the due date.
- Your logo and instructions (one per line) on every voucher.
Step-by-step
1. School and bank details
Enter the school name, logo, bank, branch, account title and number. This stays the same month after month, so next month you only change the dates and the fee month before printing again.
2. Month, dates and fine
Set the fee month, issue date, due date, starting voucher number and the late fine in rupees.
3. Fee heads
Rename, change or remove any head. Heads with a zero amount are not printed, so you can keep "Exam Fee" in the list and set it to 0 in months without exams. Mark a head as a concession to subtract it from the total.
4. Students
Add students one by one or paste a whole class from Excel or Google Sheets as Name, Father, Class, Roll No, Arrears (optional), Discount (optional). One A4 page is created per student, and the live preview shows the first voucher.
5. Download and print
Download the PDF, print on A4 landscape at 100% (actual size), and cut along the dashed lines.
Handling special cases
- Sibling or staff-child discounts: add the amount in the Discount column for those students when you paste the class. It is subtracted from that student's total only.
- Previous unpaid fee: put it in the Arrears column, so it is added to the current month's total and printed on all three copies.
- Scholarships or concessions for everyone in a category: add a fee head marked as a concession, so it is subtracted instead of added.
- Admission month: set the admission fee head for new students' vouchers, then set it back to zero for the next month so it isn't printed.
- Exam or annual charges: add the head in the months it applies and set it to zero otherwise.
Because totals and amounts in words are calculated automatically, these adjustments don't create the arithmetic mistakes that usually lead to disputes at the fee counter.
Free vs Premium
Vouchers download free as a PDF with the website watermark. Premium members get Word files and watermark-free PDFs, which many schools prefer for official documents sent to banks.
Tips for smoother fee collection
- Keep one Excel sheet per class with arrears and discounts updated monthly, then just paste.
- Print the late-fine note clearly; a visible fine encourages on-time payment.
- Check that your bank accepts the format; most banks accept a three-copy challan with complete account details.
- Use the instructions lines for payment notes like "Payment accepted at any branch" or "Keep the student copy safe".
- Send a photo of the student copy to parents on WhatsApp as a reminder before the due date.
Mistakes to avoid
- Printing at "fit to page". Print at 100% so the three copies keep their size and cut lines.
- Forgetting to update arrears. Paste the latest arrears column each month.
- Wrong account number. Double-check the bank details once; they print on every copy.
- Duplicate voucher numbers. Continue the numbering from last month's last voucher.
