Exam Date Sheet, Roll Number Slips and Seating Plan: Plan Your Whole School Exam from One Tool
Running school exams is a logistics job. Somebody has to fit every class's papers into the calendar around Fridays and holidays, make sure major subjects get a preparation day, print roll number slips, and plan seating so two students from the same class never sit side by side. In many schools that "somebody" spends a week with a ruler and a register.
The free Exam Date Sheet, Roll Slips & Seating Plan tool plans the whole exam in minutes: a colourful master date sheet for all classes, a date sheet for each class, roll number slips for every student and room-wise seating plans. Here's a step-by-step walk-through and the tips that make exam week calmer.
What you get
- Master date sheet: every class and every paper on one colourful sheet, perfect for the notice board and staff room.
- Class-wise date sheets to hand out to students and send to parents.
- Roll number slips for every student, with a photo box, the student's papers and your exam instructions.
- Seating plans and door lists for each room, arranged so that neighbouring students are always from different classes.
Step-by-step: planning the exam
1. School and exam details
Enter the school name, exam name (for example "Annual Examination 2027"), logo, paper timings and the instructions printed on sheets and slips (one per line, with a default set you can restore any time).
2. Classes and subjects
Add your classes and their subjects. Ready-made subject lists for primary, middle, high and college save typing.
3. Dates and rules
Choose the first exam date, which days of the week exams are held, holidays, and whether there are one or two papers a day. You can also add an optional gap day before major subjects (you list which subjects count as major), and keep the same subject on the same day for all classes. Click Generate, then tap any date or subject to adjust it. Leave a cell blank when a class has no paper that day.
4. Students
Paste each class's students from Excel or Google Sheets as Name, Father, Roll no. Missing roll numbers are numbered automatically.
5. Rooms and seating
Add your exam rooms with rows, benches and one or two students per bench. The tool spreads classes so every neighbour is from a different class, then gives you a seating plan and a door list for each room. Download everything as a PDF.
Who should prepare what, and when
- Three weeks before: the exam coordinator generates the master date sheet and shares it with the principal and staff for corrections.
- Two weeks before: class teachers distribute class-wise date sheets to students and parents, and subject teachers start setting papers.
- One week before: the office pastes the final student lists and prints roll number slips for photos and signatures.
- Two days before: the coordinator finalises rooms and prints the seating plans and door lists for each room.
Because everything comes from the same data, a change in one place (for example a date moved because of an unexpected holiday) is simply regenerated instead of corrected by hand on five different documents.

Tips from exam coordinators
- Start with the hardest constraint. If the hall is only free on certain days, set those exam days first.
- Use gap days wisely. A preparation day before Maths, English or Science is fair to students and reduces stress.
- Post the door list outside each room so students find their seat without crowding the corridor.
- Ask students to paste a photo on the roll slip and get it signed; it helps invigilators confirm identities.
- Share the class date sheet with parents early, ideally two weeks before exams.
Mistakes to avoid
- Forgetting public holidays. Mark them before generating, or a paper may land on a closed day.
- Two papers a day for juniors. Consider one paper a day for younger classes, even if seniors do two.
- Too many students per room. Count benches honestly; overcrowding defeats the purpose of a seating plan.
- Last-minute student list changes. Paste the final admission list, then regenerate slips if a student joins late.

Frequently asked questions
Is the exam date sheet maker free?
Yes. The master and class date sheets, roll number slips and seating plans download free as a PDF with the website watermark. Premium adds Word and removes the watermark.
Can it avoid exams on holidays?
Yes. Choose the exam days of the week and mark holidays, and papers are only placed on valid days.
How does the seating plan stop cheating?
Students are arranged so that every neighbour is from a different class, so two students taking the same paper don't sit side by side.
Do I need roll numbers for every student?
No. Paste names and father's names; missing roll numbers are numbered automatically.
Can I edit the generated date sheet?
Yes. Tap any date, session or subject to change it, and leave a cell blank when a class has no paper that day.
Can two classes have different subjects on the same day?
Yes. Each class has its own subject list. You can keep the same subject on the same day for all classes, or turn that off so every class gets its own schedule.
